Duplicate Charges: How to Find Them on Your Medical Bill
A duplicate charge is exactly what it sounds like: you're billed twice for something that happened once. It's among the most common billing errors there is, and among the easiest to get removed — but only if you catch it, and duplicates are good at hiding.
How duplicates hide
They're rarely two identical lines sitting next to each other, where anyone would notice. More often:
- Split across two bills for the same visit — the facility bills for something and a provider bills for the same thing, so neither bill alone looks wrong.
- Worded differently. The same service described two ways, with two slightly different labels, so it doesn't read as a repeat at a glance.
- Buried in a long itemized list, several lines apart, where the eye slides past.
- A bundled charge plus its parts — you're billed for a package and then again for a component already inside it.
How to find them
- Get every bill from the visit, not just one. Duplicates that span two bills are invisible if you only look at one. Lay them all out together.
- Read by service, not by line order. Group the charges by what they're for. Two lines for "the same thing" jump out when you're sorting by service instead of reading top to bottom.
- Check the codes, not just the descriptions. Two differently-worded lines with the same CPT code are the same service billed twice. The code is the tell when the words are dressed up.
- Watch the bundles. If you're billed for a procedure that includes certain supplies or steps, make sure those aren't also listed separately.
What to do when you find one
Don't pay it, and don't assume it'll sort itself out. Call billing, point to the two lines, and say plainly that the same service appears to be billed twice — give the dates and the codes. Ask them to verify against the medical record and remove the duplicate. Note who you spoke to and when. A genuine duplicate is hard for a billing department to defend once you've put the two lines side by side.
The whole game is visibility. A duplicate you can see is a duplicate that comes off the bill. The work is just making it visible.
